Why use MailPoint
In most organisations, emails have traditionally been treated as personal communication, not unlike phone calls. For this reason many companies have never thought of archiving and systemizing their electronic communication. Yet, every day employees of the same companies make legally binding agreements with customers, suppliers and partners via their email system.

There are several challenges related to this. Firstly, the company may lack methods for collating all related communication. Secondly, emails might be stored in a personal folder on the employee’s portable computer, and an eventual loss of the computer might lead to loss of documentation. Likewise, key information stored in emails, is unavailable to colleagues in case of the email owners’ unplanned or planned absence.

MailPoint offers practical solutions to these issues through an efficient archiving, structuring and distribution of emails.

According to our customers there are 3 main reasons why MailPoint is their preferred solution for enterprise email management.
1. We need to share emails among a group of employees
Workgroups often need to share the information in emails with each other, often combined with a proper workflow. MailPoint integrates with SharePoint even down to the individual user’s Outlook client, and let emails be both searchable and actionable within SharePoint, just like other documents. And best of all, the distribution of emails can be automated based on their content.
2. We need to archive our business communication for legal purposes
MailPoint archives all email traffic handled by your exchange server. Information in emails which are not tagged for distribution remains restricted to the sender/receiver, but is retrievable using the built-in legal discovery tools. As all emails are automatically captured, reconstructing the communication surrounding a specific context is not only possible, but a simple and straightforward procedure.

The legal function in Mail Point will allow for a well-organized export of emails in the case of a legal conflict.
3. We want to have an efficient email backup, and keep our mailboxes as small as possible
In a MailPoint environment, your users may continue to operate their emails exactly like they always have. However, should the mail system administrator wish to reduce the mailbox sizes to a more manageable level, users will still have access to historic emails without any limitation or time loss. In fact, searching for and retrieving old emails through MailPoint is considerably faster than using the search function in Outlook.

Microsoft will stop supporting shared folders from the next Exchange edition. MailPoint effectively fills this task by grouping emails in virtual folders inside Outlook, based on tags that reflect the content.

In addition, Mail Point unloads a huge work burden from the system administrator’s back since it eliminates the need for any mailbox backup of the Exchange server. Users can now restore emails to their Outlook client themselves, within seconds.
