General Functionality
Can we search for content in all attachments?
Yes, with some exemptions. While all text based documents are searchable, documents containing scanned texts are not searchable. As a rule of thumb; documents where the text content can be highlighted for copying are searchable. PDF's locked for editing will for this reason not be searchable.
How can we integrate MailPoint in our CRM solution?
Using the standard web panel integration, MailPoint can be presented as a folder or page within any .net based application. This linking can be configured to execute searches automatically, for instance presenting email to/from the customer's mail domain when you look at a customer record in your CRM system.
How does MailPoint retrieve emails from our Exchange server?
We use standard Exchange journaling. When Exchange Journal is set up, all mails will be delivered to a Journal drop box. MailPoint polls the Journal drop box in real time and stores the e-mail in MailPoint
How does the SharePoint integration work?
MailPoint comes with two types of integration to SharePoint as standard. The simplest variant presents MailPoint as a datawindow on a site page. Should you wish, however, to utilise the SharePoint search function, the workflow function or similiar in conjunction to archived emails, the SharePoint mail list integration is required. Basically emails with a certain tag will then be copied to a mail list within SharePoint, making the information searchable and actionable without direct access to the MailPoint user interface.
Our organisation has some email accounts outside the exchange environment. How does MailPoint handle this?
Many organisations have fragmented email services, where temporary project offices, rigs and vessels get email services from third party suppliers. Emails from these should be CC'ed to an address inside your Exchage environment. MailPoint has special features for searching on "true" sender and receiver, allowing you to see these emails even if they are not journaled as coming from/going to an account inside your Exchange forest.
Outlook already has a search feature, so why do I need more?
The built in search feature in Outlook has several limitations, and quite a few weaknesses. Most importantly, Outlook only has the capability of searching for messages in the user's own mailbox. Secondly, there are no features available in Outlook to make structured searches. The most important weakness however is related to mailbox size limitations. Once a mailbox reaches a certain size, the indexing function that is necessary for effective searches struggles, and as a result searches slow down. In MailPoint, we guarantee lightning fast searches no matter how big the email database is. The ability to perform structured searches using metadata also guarantees better search results.
Mail Archiving
Can archived emails be altered?
No! After archiving no users, including system administrators, have access to change or delete the message or it's archived attachments.
Can users create their own tags?
No! Effective cross organisational use of MailPoint means that tag types and tags should only be created by a system administrator.
Can users define their own tagging rules?
Yes they can! Users may define automated rules for tagging their own emails.
Can users manipulate emails before archiving
No! Emails are archived before they reach the recipient and can therefore not be altered.
Can users tag their emails manually?
Yes they can! Users can tag emails manually both through the web interface and the Outlook plugin module. This includes both tags, confidentiality settings and privacy settings.
Is archiving allowed under privacy legislations?
Privacy legislation varies from country to country. As a general rule, Doorway recommend that that company's explicit access to emails sent and received through the company's email system is described in an article of the employment contract or in a document that is made part of the contract (e.g. personnel handbook).
Is the solution SOX compliant?
Yes! All email correspondence including metadata and attachments are archived and can be retrieved through effective eDiscovery tools. The correspondence's information integrity is ensured through the built in data protection features.
We already have a system where users select to archive their emails. How is MailPoint different?
While many systems allows users to tag, archive and share individual email messages, MailPoint offers both an extensive publishing and journaling functionality AND a total mail archiving solution. This means that NO email messages will ever be lost, regardless whether the user has remembered to archive it or not. In a legal conflict you will be able to reconstruct all correspondence. On top of this, your users can reduce their mailbox sizes to a level that is manageable for effective Exchange operations, and still have full access to all historic emails.
What legal obligations do we have to archive email correspondence?
The legal requirements for filing business correspondence, including email, vary from country to country. The US SOX legislation is, however, becoming more and more of an international standard. Should a lawsuit be filed against your company in a US court, the SOX requirements will be used. In short, the legislation places a duty on all companies to secure all business relevant information, including email, and to be able to present it to the court, normally within 10 days, on demand. The inability to present a complete documentation has been used against companies in many cases. Under the SOX legislation, various categories of information is required to be retained for up to 7 years. Companies are required to maintain and follow written policies on the archiving and deletion of information, taking the retainment requirements of the law into consideration. Deleting or destroying information outside these polices is considered a fraudulent action.
Who can use the legal function?
The system's legal function allows for search and retrival of emails across user accounts. There are different levels of legal access, where the most limited gives access to the message's metadata only (from, to, date, subject, tags, confidentiality level) and the most extensive gives full access to all emails. The company must decide on a policy for the use of these functions and establish firm mechanisms regulating who can get this access.
Will an email that is sent to multiple recipients be archived several times?
No. Our advanced journaling technology ensures that a message is only stored once, even if it sent in different batches to recipients. This helps minimizing the size of your database, and makes indexing, search and retrieval of messages fast and smooth.
Security
Can emails be flagged as private?
Yes! Users can themselves flag an email as private. By doing so, the email will not be published. Also, the email will be restricted from eDiscovery through the legal module. The eDiscovery restriction can however be set aside by the system administrator. It is of great importance that companies using the legal module establish proper documented guidelines for when and by whom such extended access is given.
Can other users read my emails?
Read access to emails is managed through the tagging of messages. An untagged message can only be read by the sender/recipient, or by accessing it through the legal function. The legal privileges should only be granted to specific users, i.e. the company's legal counsel. All legal search and retrieve operations are logged, and can be made subject to internal auditing routines.
Can users delete emails from the archive?
No. Neither users nor system administrators can delete messages from MailPoint. In a soon upcoming version, policy governed deleting procedures will be implemented. This will allow your organisation to remove messages after a predefined time, depending on content and sender/receiver.
How do I ensure that confidential information isn't shared to outsiders?
As a starting point, MailPoint never distributes any emails to anyone but the sender/recipient. The distribution to other users depends on the tagging of the email. Once an email is tagged it will be available for all users that has access to that specific tag. The system administrator can grant access to either a tag type (e.g. Project) or to specific tags within a tagtype (e.g. Project-1, Project-2). Secondly, an email user can give all emails a Confidentiality code. As a result, other users will need both access to the tag used, and be authorised for the confidentiality level used. Confidentiality can be organised hierarchically or flat. Hierarchically means that if you are authorised to level 3, where 5 is the highest, you can read messages using level 3, 2 and 1. Flat confidentiality is used to limit distribution to a user’s authorised for that type of information (e.g. Payroll, Personnel, Contract).
Setup and Installation
Are all internet browsers supported?
Yes! MailPoint runs well in Internet Explorer, Google Chrome, Mozilla Firefox, Safari and Opera
Can our Mac computers run MailPoint?
Yes! MailPoint runs well in Safari and other major browsers. Currently Outlook 2011 for Mac is not supported, meaning that Mac users cannot use the Outlook plugin module.
Can we import emails from existing mailboxes into MailPoint?
Yes. MailPoint will flag emails that have been imported from Mailboxes to signify that the messages data integrity cannot be guaranteed, as the messages could have been manipulated before importing.
Can we import emails from existing PST's into MailPoint?
Yes. MailPoint will flag emails that have been imported from Mailboxes to signify that the messages data integrity cannot be guaranteed, as the messages could have been manipulated before importing.
Do you offer MailPoint as a cloud service?

Do you support other email servers than Exchange?
At the moment, only MS Exchange is supported.
How can we roll out the features in MailPoint to the user's Outlook clients?
You need to deploy the Business Outlook plugin to all Outlook users. The deployment package should include the URL to the MailPoint WEB Service. After the deployment is done Plug in Features can be managed thru the MailPoint WEB interface so no further local actions is needed
How many and what size of servers do we need to run MailPoint?
Doorway has published a document named "Hardware requirements for MailPoint" outlining all deployment details for the solution. You will find the document in the Support menu on top of this webpage.
To what extent do we need consultancy to start using the solution?
While MailPoint is well documented and easy to use, we always advise new customers to spend a few hours with one of our experienced consultants before going live with the solution. We can assist you in building a tag code structure and auto tagging functions that works effectively for your organisation, avoiding known pitfalls that could limit your future use of the system. Also, we will assist you with necessary user and super user training, allowing you to roll out the system both fast and securely.
Which server OS' can the system run on?
MailPoint should be set up on Windows Servers. The recommended OS is Windows Server 2008 R2

What does the maintenance agreement cover?
